REQUIREMENTS : Applicants should have a Grade 12 Certificate. No experience
required. Job associated knowledge: Computer knowledge (Microsoft Word, Excel,
PowerPoint, etc).
Job associated skills: Good cellphone etiquette, Sound
organisational skills, Computer literacy, Language capabilities and capability to communicate
well with humans at specific ranges and from specific backgrounds, Communication
skills (written and verbal), competency to act with tact and responsibly as well as good
presentation skills.
DUTIES : Provide secretariat / receptionist help provider to the Director. Receive telephonic
calls and refers the calls to the right position players if now not supposed for the relevant
senior manager. Record appointments and activities on the diary.
Type documents for the Director and different personnel inside the unit. Operate workplace tools e.g. fax
machine and photocopier. Provide clerical help offerings to the Director. Liaise
with tour organizations to make tour arrangements. Checks the preparations when
relevant files are received.
Arrange conferences and activities for Director and staff in the unit. Identifies venues, invitations position players, organize refreshments, sets up for scheduled meeting and events. Process the tour and subsistence claims for the unit. Process all invoices that emerge from the to do list of the
Directors workload.
Record simple minutes of the conferences of the Director the place required. Draft
routine correspondence and reports. Do submitting of files for the Director and the
unit where necessary. Administer things like go away registers and telephone
accounts. Receive, report and distribute all incoming and outgoing documents.
take care of the acquisition of requirements for stationary, refreshments, etc.
Collect all applicable files to allow the Director to put together for meetings.
Remain up to date with regard to prescripts / insurance policies and strategies relevant to
her / his work surroundings to make sure environment friendly and high quality aid to the Director.
Study the applicable Public Service and the departmental prescripts / insurance policies and
other archives to make certain that the software thereof is understood properly.
Remain abreast with the tactics and approaches that practice in the workplace of the
Director.
