Applicants have to be in possession of a Grade 12 Certificate.
No previous experience required.
Skills preferred: Computer knowledge (Microsoft Word, Excel, PowerPoint, etc).
Job related skills: appropriate cellphone etiquette, Sound organizational skills, Computer knowledge,
Language abilities and capacity to talk properly with individuals at specific stages and from
different diversities, Communication abilities (written and verbal), Ability to act with tact
and discretion and Good presentation skills.
DUTIES : Provide secretariat / receptionist help to the Director. Receive telephonic calls
and refers the calls to the right people if not intended for the applicable senior
manager. Record appointments and occasions on the diary. Type files for the senior
manager and different personnel inside the unit.
Operate workplace tools e.g. fax machine and photocopier. Provide clerical help services to the senior manager. Liaise with travel agencies to make tour arrangements. Checks the preparations when relevant
documents are received. Arrange conferences and occasions for senior supervisor and group of workers in the unit, book venues for meetings, invite right personnel, order refreshments, organize for
scheduled meetings and events. Process travel and subsistence claims for the entity.
Process all invoices that is send out from the work of the senior executive.
Record primary minutes of the conferences of the senior supervisor where required. Draft
routine correspondence and reports. Do submitting of archives for the senior supervisor and
the unit when its necessary.\
Administer things like leave registers and telephonic accounts. Receive, put in sequence and allocate all incoming and outgoing documents. Regulate the procurement of required items like stationary, refreshments etc. Collect all relevant documents to allow the Director to get ready for meetings.
Remain up to date with regard to prescripts / policies and strategies relevant to her / his work surroundings to ensure efficient and high-quality aid to the senior manager. Study the applicable Public Service and the departmental prescripts / policies and different files to make certain that the
application thereof is understood properly. Remain abreast with the strategies and
processes that follow in the workplace of the senior manager.
