REQUIREMENTS :

Applicants should be having a Grade 12 Certificate. No experience
required. Job associated knowledge: profeciency of registry duties, principles as well as
the ability to seize statistics and use a computer. Working expertise and
insight of the legislative framework governing the Public Service.


Familiarity of storage and retrieval propositions in terms of the working
environment. Understanding of the work in registry. Job associated skills: Planning and
management skills , Computer knowledge, Language proficiency and Communication skills
(verbal and written). Interpersonal relations. Flexibility and work within a team.


DUTIES :

Provide registry counter services. Attend to clients. Handle telephonic and other
enquiries received. Receive and register mail/files that are delivered by hand. Deal with
incoming and outgoing correspondence. Receive, sort, register and dispatch all
mail. Distribute notices on registry issues.

Render a high-quality filing and record
management service. Opening and shut archives in accordance to document classification
system. Filing / storage, tracing (electronically / manually) and retrieval of
documents and files. Complete index playing cards for all files.

Operate workplace machines in
relation to the registry function. Open and preserve Franking computer register.
Frank post, report cash and replace register on a every day basis. Undertake spot 29
checks on post to make sure no personal post is included. Lock post in postbag for
messengers to supply to the Post Office.

Open and preserve remittance register.
Record all treasured articles as prescribed in the remittance register. Hand delivers
and elements over remittances to finance. Send incorrect remittances returned to sender via
registered post and file reference number in register. Keep each day report of
number of letters franked. sort files for archiving and / disposal.


Electronic scanning of files. Classify and sort archives for archives and distribution.
Gather a list of archives to be archived and circulate to the supervisor. Keep
records for archived documents.
