REQUIREMENTS :

Those who are applying must have a Grade 12 Certificate. You don’t need any experience for this post. Knowledge you need for this job: Computer literacy (Microsoft Word, Excel,
PowerPoint, etc).

Skills you need for this job: Good smartphone etiquette, Sound
organizational skills, Language competencies and potential to talk nicely with
people at unique degrees and from unique backgrounds, Communication skills
(written and verbal), Capacity to act with tact and caution and Good
presentation skills.


DUTIES :

Provide secretarial / receptionist support carrier to the Director. Receive
telephone calls and refer the calls to the right position players if no longer supposed for
the applicable senior manager. Record appointments and occasions on the diary.
Type files for the senior supervisor and different workforce inside the unit. Operate
office tools e.g. Fax devices and photocopiers.

Provide clerical support
services to the senior manager. Liaise with journey corporations to make travel
arrangements. Check the preparations when applicable files are
received.

Arrange conferences and activities for senior supervisor and personnel in
the unit. Identify venues, invite function players, organize refreshments, set up
schedules for conferences and events. Process the travel and subsistence claims
for the unit.

Process all invoices that emanate from the things to do of the work of
the senior manager. Record simple minutes of the conferences of the senior
manager the place required. Draft movements correspondence and reports.

Do filing
of archives for the senior supervisor and the unit the place necessary. Administer
matters such as depart registers and smartphone accounts. Receive, file and
distribute all incoming and outgoing documents. Handle the procurement of
standards objects such as stationary, refreshments etc.

Collect all relevant
documents to allow the Director to put together for meetings. Remain up to date
with regard to prescripts / insurance policies and tactics relevant to the work
environment to make sure environment friendly and fine guide to the senior manager.
Study the appropriate Public Service and the departmental prescripts / policies
and different archives to make sure that the utility thereof is understood
properly. Remain abreast with the methods and strategies that observe in the
office of the senior manager.

Proofreads and corrects organized substances for right grammar, format, completeness, and content.
Establishes and continues workplace files, logs, indexes, manage records, or different data regarding the
work underneath the supervisor’s control.
Enters, retrieves, updates, verifies, and deletes statistics from digital files.
Takes minutes or recordings of meetings.
Sorts, opens, and distributes incoming mail to staff; mates incoming correspondence with archives or
related substances wished for meetings, correspondence, and reports.
Maintains confidentiality of files and statistics received.
Keeps knowledgeable of workplace important points and advises administration of problems.
Assists in the education of budgets and monetary reports; prepares and video display units timekeeping and other personnel records.
Determines desires and orders workplace supplies, equipment, restore and preservation offerings through
agency channels.
Operates well known workplace equipment.
Performs associated work as assigned.
